In my opinion it will work best if it occurs on an annual basis over a specified time period.
Maybe something like a month long 'drive' during September every year, that way it does not interfere with memberships and the new email addresses are collected in time for the clubs upcoming membership campaign.

Something that needs to be worked out.
The options are: giving the database completely over to the club so they can integrate it with their current database.
OR
Simply giving the club access to the database and software so that they can send their correspondence out via the NBA site.
techincal issues may force this decision upon us if integration is not possible at the club end.

No real need for names I reckon (but it can be included as an optional part of the submission form).
a) people are much more likely to sign up without having to give too many details
b) the software sends a confirmation email to the subscriber with a link in it that needs to be clicked in order to activate the subscription, therefore only live email addresses will be included on the database
